What we collect, why, and how long we keep it.
Draft. This page is a placeholder while the final wording is settled. It is not yet the agreement between us. For anything that matters today, write to support@astario.co.uk.
Who the controller is
For a study, the authority that commissioned it is the data controller and Astario Ltd is the processor. For this website and for demo enquiries, Astario Ltd is the controller. Draft wording to be confirmed.
What we collect from suppliers
Your name and work email, because the council invited you; what you say in the conversation, as a transcript and, if you chose to talk, as a recording; and the organisation you represent. We do not ask for anything else. Draft wording to be confirmed.
What we collect from officers
Work email, name, authority and role, plus a record of the actions taken in the app for the audit log. What an officer writes to describe a sounding, and any brief or specification they attach to it, is kept with that sounding, seen only by their authority, and deleted with it. Draft wording to be confirmed.
How long we keep it
Recordings and transcripts are deleted on the retention period the commissioning authority sets, between six and sixty months. The audit log is kept for the life of the account. Draft wording to be confirmed.
Where it is held
In the United Kingdom, in the London region. Nothing is stored outside the UK. Draft wording to be confirmed.
Where it is processed
Running a conversation is not storage. What has been said so far is sent to an AI model provider to choose the next question, an officer's description and the text of the documents they attach are sent to it to draft the questions, and a spoken conversation also passes through a speech provider; both process outside the UK and neither keeps anything for us. Every provider is named, with its region, on the security and data page. Draft wording to be confirmed.
Your rights
You can ask for a copy of what we hold, ask for it to be corrected or deleted, and object to processing. Ask the council that invited you, or write to us and we will pass it on. Draft wording to be confirmed.
